Job Description:
GENERAL SUMMARY The Pooling Specialist is responsible for the
accurate and timely pooling of Housing New Mexico mortgage loans
for delivery into the secondary market. Pooling, creating trades
and securitizing loans for GNMA, FNMA, and FHLMC. This role must
ensure compliance with Housing New Mexico program guidelines,
investor requirements and regulatory standards. Coordinate the
important process of delivering mortgage loans within strict
timelines to the secondary market, including pooling, delivering,
creating trades and security instruments. Maintain relationships
with internal and external partners. Receive, analyze and recommend
certification or recertification of lenders to participate in
Housing New Mexico’s single family programs. ESSENTIAL DUTIES &
RESPONSIBILITIES The intent of this job description is to provide a
representative summary of the major duties and responsibilities
performed by incumbents of this job. Employees may be requested to
perform job-related tasks other than those specifically presented
in this description. Pool eligible mortgage loans in accordance
with program guidelines, investor requirements and security
specifications. Create and manage loan pools for delivery to the
various GSEs Validate loan data accuracy, including rates, term,
product type coupon and documentation prior to pooling. Adept at
using several different systems at the same time to ensure timely
loan delivery. Prepare and submit pooling files, certifications and
require documentation to investors, trustees, custodians and/or
servicer. Monitor pooling timelines, settlement dates, and delivery
deadlines. Maintain detailed records of pooled loans, securities
and delivery confirmations. Assist with reconciliation of pooled
loans, trailing documents, and post-delivery corrections. Pooling
Specialist is also responsible for administering the initial
certification and ongoing recertification of lenders participating
in the Housing New Mexico programs. This role ensures lenders meet
all eligibility, compliance and performance standards. Review and
evaluate lender applications, renewals, and support documentation
for completeness, accuracy and compliance. Responsible for
collecting fees and tracking deadlines. Identify and escalate
compliance concerns, delinquencies, or performance issues to upper
management. Assist with audits and reporting related to lender
participation and oversight Maintain lender pipeline spreadsheet
and coordinate yearly review of production minimums. Draft lender
letters pertaining to notice of possible termination or actual
termination Maintain accurate records of approvals, expirations,
condition, and status changes. Coordinate with internal teams, such
as compliance and secondary market to assess lender qualifications.
GNMA Mis-Match Report – pulled monthly. Review and approve daily
TBA Rate Lock Confirmations. FHLB Warehouse Reconciliation –
performed weekly. Review Data Transfer of Notes to identify
co-signors. Maintain the GNMA Commitment Authority log, GNMA Pool
Numbers and Permanent EIN log. Employees are required to comply
with safety regulations, procedures, and protocols. Perform other
various duties as assigned. MINIMUM QUALIFICATIONS Education and
Experience High School Diploma or GED required. Two plus years’
experience in mortgage lending, compliance, lender relations.
Proficiency with Microsoft Office (Excel, Word, Outlook) and
document management systems. Experience with processing mortgage
transactions, regulatory compliance, post-closing functions and
familiarity with mortgage documents, data input and data quality
are required. Familiarity with GNMA, FNMA, and FHLMC. Experience
with working within different applications for pooling and
securitizing. Underwriting experience is desired. Conditions of

mortgage underwriting processes and practices is preferred.
Knowledge of HFA’s and specifically Housing New Mexico. Knowledge
of federal, state, and local housing programs is helpful. The
ability to analyze financial statements is a plus. Knowledge of the
mortgage pooling process and secondary marketing loan sales.
Familiarity with standard mortgage industry documents such as notes
and security instruments. Relate to and interact with a
non-traditional and diverse customer and employee population.

communication skills with demonstrated ability to write clearly,
concisely, and effectively, with attention to detail for visually
