Job Description:

We are currently seeking an organized and detail-oriented Administrative Assistant to research and route all incoming invoices to the appropriate department head for final approval and processing. The ideal candidate will notify vendors of any issues or questions regarding the invoices and rectify any discrepancies before routing them to management for approval and processing. Duties & Responsibilities:

  • Scan all invoices into AP software for routing.
  • Research all invoices for discrepancies.
  • Completes invoice approval processing and controls expenses by receiving, processing, verifying, and reconciling invoices.
  • Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
  • Ensures credit is received for outstanding memos.
  • Verifies vendor accounts by reconciling monthly statements and related transactions.
  • Protects organization's value by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities.
  • Accomplishes accounting and organization mission by completing related results as needed.
  • Accurately review, code, and process vendor invoices
  • Perform monthly reconciliations
  • Perform data entry associated with accounts payable
  • Review and reconcile invoice discrepancies
  • Address and respond to vendor inquiries
  • Tracking budget expenses

    • Excellent organizational skills
    • Ability to analyze information effectively
    • Develop effective vendor relationships
    • Skilled in data entry and basic computer skills
    • General math and basic accounting skills
    • Proficient in Microsoft Office Suite
