Essential Functions: This Administrative Assistant position is responsible for supporting the Office Manager with the multitude of administrative tasks that are required at a busy professional services firm. This includes but is not limited to: * Format financial statements, engagement letters, and required communications. * Assist with billing, payment processing, A/R * Collaborate with others on work on projects/tasks outside of their "usual" assignments. * Coordinate shipping/receiving all packages through FedEx, UPS, courier service and regular mail, and distribute to employees * Participate in the cross-training of all admin functions across departments * Maintain cleanliness and orderliness of office and kitchen area including supplies * Manage office supplies including daily restock and maintenance of coffee, drinks and snacks. * Collaborate with leaders and others to assist with proposals Requirements: * Solid 3 years or more of customer service and general office experience * Managing phones, filing of paperwork, scanning, faxing, emailing documents, postal mail, etc. * Professional appearance,, demeanor and communications (written and verbal) * Moderate to advanced knowledge of Word, Excel, and Adobe PDF. * Working Knowledge of RightSignature and sending e-documents to clients by email * Ability to work full-time 8am - 5pm Monday through Friday and overtime as needed during seasonal deadlines. * Applicants with knowledge or experience in tax assembly, scanning, auto flow will receive preference * Strong comfort level with technology and learning new programs * Demonstrated ability to successfully handle multiple projects and priorities at the same time.
